Everything You Need to Know About Windows Folder Permissions

  • 0:00 - 0:02
what you guys got another video here for
  • 0:02 - 0:05
you on all you need to know about file
  • 0:05 - 0:08
and folder permissions inside windows it
  • 0:08 - 0:09
    doesn't really matter whether you're
  • 0:09 - 0:12
    using windows 7 windows 10
  • 0:12 - 0:13
you know windows 11 i'll show you
  • 0:13 - 0:15
exactly what you need to know so let's
  • 0:15 - 0:19
first go into our c root directory here
  • 0:19 - 0:21
    and create a folder
  • 0:21 - 0:23
so what we're going to do
  • 0:23 - 0:25
is create a folder in here say for
  • 0:25 - 0:27
    instance workshare or something along
  • 0:27 - 0:29
those lines and maybe you've got a bunch
  • 0:29 - 0:31
of people that you want to control
  • 0:31 - 0:33
uh what they can look at and what they
  • 0:33 - 0:35
can't look at on this folder so right
  • 0:35 - 0:38
click on it and go to properties
  • 0:38 - 0:40
inside here we're going to go to the
  • 0:40 - 0:42
    security tab
  • 0:42 - 0:44
once inside here we're going to click on
  • 0:44 - 0:47
the edit button so click on edit
  • 0:47 - 0:49
and this will open up another window and
  • 0:49 - 0:51
from here we're going to click on add so
  • 0:51 - 0:54
click add and then we're going to add
  • 0:54 - 0:57
the everyone to this area here so let's
  • 0:57 - 0:59
click everyone in here and then click
  • 0:59 - 1:02
check name and then click ok
  • 1:02 - 1:05
once we've done this click apply okay
  • 1:05 - 1:07
and then okay again and this brings us
  • 1:07 - 1:08
    back to
  • 1:08 - 1:11
where we was which is the work share
  • 1:11 - 1:13
so inside here we can now create a new
  • 1:13 - 1:14
    folder
  • 1:14 - 1:16
and we're going to call this say for
  • 1:16 - 1:18
    instance invoice or something along
  • 1:18 - 1:20
those lines or whatever it is that you
  • 1:20 - 1:22
want to create your folders for
  • 1:22 - 1:24
and this area is where we're going to
  • 1:24 - 1:27
give access to users so let's go inside
  • 1:27 - 1:29
here and right click on this folder and
  • 1:29 - 1:31
    go properties
  • 1:31 - 1:33
and then we're gonna go to the security
  • 1:33 - 1:34
    tab
  • 1:34 - 1:37
once you clicked on the security tab go
  • 1:37 - 1:39
all the way down to the bottom here and
  • 1:39 - 1:40
    click on
  • 1:40 - 1:42
    the advanced area here
  • 1:42 - 1:44
so you should see the advanced security
  • 1:44 - 1:47
    settings for this invoice folder
  • 1:47 - 1:50
click on the disable inheritance on the
  • 1:50 - 1:52
bottom left click on remove all inherent
  • 1:52 - 1:54
permissions for this object and then we
  • 1:54 - 1:57
can click on apply and you should see a
  • 1:57 - 2:00
windows security popping up here so say
  • 2:00 - 2:02
yes to this and then click ok and then
  • 2:02 - 2:04
ok again now we've removed all the
  • 2:04 - 2:07
    permissions for this invoice
  • 2:07 - 2:10
folder here so if i go clicking on it
  • 2:10 - 2:11
it's going to say you don't currently
  • 2:11 - 2:13
have any permissions to access this
  • 2:13 - 2:15
folder that's because we've removed all
  • 2:15 - 2:17
    these permissions
  • 2:17 - 2:20
but i can still edit the permissions on
  • 2:20 - 2:21
this because i'm the administrator so
  • 2:21 - 2:24
what i'm going to do here is change all
  • 2:24 - 2:26
the permissions for the users so let's
  • 2:26 - 2:27
    go ahead
  • 2:27 - 2:30
and right click on the folder here
  • 2:30 - 2:32
and click properties and then go back
  • 2:32 - 2:34
    into
  • 2:34 - 2:37
the security tab again and now from here
  • 2:37 - 2:39
    we can click advanced
  • 2:39 - 2:41
in the advanced security settings for
  • 2:41 - 2:43
this invoice folder we're going to click
  • 2:43 - 2:46
on now the add to add some permissions
  • 2:46 - 2:46
    in
  • 2:46 - 2:48
so first off we're going to select a
  • 2:48 - 2:50
    principal
  • 2:50 - 2:52
and from here we're going to select
  • 2:52 - 2:55
our admin account which will be say for
  • 2:55 - 2:56
    instance breitek
  • 2:56 - 2:58
you can check the name and you should
  • 2:58 - 3:01
now see this come up on the list here
  • 3:01 - 3:02
yours will probably be called admin or
  • 3:02 - 3:05
something like that click ok and we're
  • 3:05 - 3:07
going to give the admin full control to
  • 3:07 - 3:10
    modify read and execute
  • 3:10 - 3:11
and read and write and all that sort of
  • 3:11 - 3:12
    good stuff
  • 3:12 - 3:15
also we now need to add in another
  • 3:15 - 3:17
permission for someone else that might
  • 3:17 - 3:19
be wanting to get access so select
  • 3:19 - 3:22
another principal and do a search for
  • 3:22 - 3:25
users on this pc so i'm gonna check this
  • 3:25 - 3:27
name here and there's sally on here so
  • 3:27 - 3:29
    we're gonna click ok
  • 3:29 - 3:30
and we're gonna give her read and
  • 3:30 - 3:34
    execute permissions this folder contents
  • 3:34 - 3:37
and also and will only give a read
  • 3:37 - 3:39
permissions as well no write permission
  • 3:39 - 3:42
click apply and then click ok
  • 3:42 - 3:45
and that is now done you can click ok
  • 3:45 - 3:47
    here so let's
  • 3:47 - 3:49
check out the permissions by right
  • 3:49 - 3:50
clicking on the invoice here now and
  • 3:50 - 3:53
click properties then go security and
  • 3:53 - 3:56
you will see the groups and user names
  • 3:56 - 3:58
for this folder here and as the
  • 3:58 - 4:00
administrator you can edit these you can
  • 4:00 - 4:02
see the sort of permissions these users
  • 4:02 - 4:03
    have got
  • 4:03 - 4:06
so we can also click on edit here and
  • 4:06 - 4:08
add more users if we wish by clicking
  • 4:08 - 4:12
add let's say add jim here
  • 4:12 - 4:14
do a check name to make sure he's on
  • 4:14 - 4:16
    here so click ok
  • 4:16 - 4:18
and now we can give jim some permissions
  • 4:18 - 4:21
as well so maybe we just want him to be
  • 4:21 - 4:23
able to see the folder but he won't see
  • 4:23 - 4:26
what's inside of it or maybe you just
  • 4:26 - 4:28
want to hide it from him and block him
  • 4:28 - 4:31
    from completely accessing that area
  • 4:31 - 4:33
so we'll leave it as it is here where it
  • 4:33 - 4:35
says list folder contents but you won't
  • 4:35 - 4:36
    be able to see
  • 4:36 - 4:39
any of the data inside here click apply
  • 4:39 - 4:40
    and ok
  • 4:40 - 4:44
and then we can now click ok again
  • 4:44 - 4:47
so we should see now jim has got listed
  • 4:47 - 4:48
    folder contents
  • 4:48 - 4:51
    sally's got read and execute
  • 4:51 - 4:53
listed folder contents and also she can
  • 4:53 - 4:54
    read it
  • 4:54 - 4:56
but she can't edit any of the uh
  • 4:56 - 4:59
information in there only brytech can
  • 4:59 - 5:02
says create an invoice inside here so
  • 5:02 - 5:04
let's go and create a new text document
  • 5:04 - 5:05
    we'll just
  • 5:05 - 5:08
    call this say invoice
  • 5:08 - 5:10
and then maybe what we'll do is we'll
  • 5:10 - 5:12
just put some text inside here so you
  • 5:12 - 5:14
can see how this will work
  • 5:14 - 5:17
so let's go ahead and just put this as a
  • 5:17 - 5:18
    test
  • 5:18 - 5:20
and we can go ahead and save this
  • 5:20 - 5:23
document here and as the administrator i
  • 5:23 - 5:26
can create documents edit documents and
  • 5:26 - 5:28
read documents and i've got full control
  • 5:28 - 5:31
    over this area here
  • 5:31 - 5:33
as you can see i can open things up and
  • 5:33 - 5:36
i can also create delete and edit these
  • 5:36 - 5:37
    documents
  • 5:37 - 5:40
so now let's go ahead and uh
  • 5:40 - 5:42
change accounts to say for instance
  • 5:42 - 5:44
sally and see what sally can do here so
  • 5:44 - 5:47
let's go ahead and change accounts and
  • 5:47 - 5:50
    sign into sally's account here
  • 5:50 - 5:53
and once we get to the desktop i'm going
  • 5:53 - 5:55
    to go into this pc
  • 5:55 - 5:58
lc drive and we should see our workshare
  • 5:58 - 6:01
folder here so let's go ahead and log
  • 6:01 - 6:03
    into our workshare
  • 6:03 - 6:05
then go to invoice and you can see the
  • 6:05 - 6:09
invoice is here and of course
  • 6:09 - 6:11
sally can access it and read it she can
  • 6:11 - 6:12
    actually see
  • 6:12 - 6:15
uh this document and read it
  • 6:15 - 6:17
but so he doesn't have the permission to
  • 6:17 - 6:19
edit it or delete it or any of that sort
  • 6:19 - 6:21
of stuff and that's because we give her
  • 6:21 - 6:24
the uh amount of access that she's
  • 6:24 - 6:27
required to say read documents but not
  • 6:27 - 6:29
edit them or even delete them so you can
  • 6:29 - 6:31
see here if she tries to edit this
  • 6:31 - 6:34
document it'll say you need to obtain
  • 6:34 - 6:38
admin permissions to edit this document
  • 6:38 - 6:41
so she doesn't have the power to edit
  • 6:41 - 6:42
    them
  • 6:42 - 6:44
and even if she tried to delete the file
  • 6:44 - 6:46
maybe she wanted to do something
  • 6:46 - 6:48
mischievous and delete the file she
  • 6:48 - 6:49
wouldn't be able to do that because she
  • 6:49 - 6:52
    doesn't have administrative privileges
  • 6:52 - 6:54
    to delete that file
  • 6:54 - 6:57
so you can give her access to reading of
  • 6:57 - 6:59
the document but you're not giving her
  • 6:59 - 7:02
access to edit it or even delete it
  • 7:02 - 7:04
so that's the permissions that sally has
  • 7:04 - 7:06
    to
  • 7:06 - 7:08
look at the files but she can't do any
  • 7:08 - 7:10
    of the other permissions
  • 7:10 - 7:12
so let's change accounts to jim and see
  • 7:12 - 7:15
what jim can do here so let's go ahead
  • 7:15 - 7:16
    and click on
  • 7:16 - 7:18
    jim here
  • 7:18 - 7:22
and we'll log into jim's account
  • 7:22 - 7:23
    now jim can
  • 7:23 - 7:25
see the contents we've listed the
  • 7:25 - 7:27
contents for jim but we're not giving
  • 7:27 - 7:29
    him any access
  • 7:29 - 7:32
to open files up or edit files or even
  • 7:32 - 7:35
delete files so let's go back into our c
  • 7:35 - 7:37
root directory here and look at our work
  • 7:37 - 7:40
share you can see the folders because
  • 7:40 - 7:42
we've allowed him to list the contents
  • 7:42 - 7:44
but he can't read even that document
  • 7:44 - 7:47
because he doesn't have the permissions
  • 7:47 - 7:50
to even read what's in it
  • 7:50 - 7:52
so what this video is teaching you is
  • 7:52 - 7:55
how to set up permissions for files and
  • 7:55 - 7:57
    folders and users on
  • 7:57 - 7:59
the computer so you can basically
  • 7:59 - 8:02
    understand how these permissions work
  • 8:02 - 8:04
and you can use this for other things
  • 8:04 - 8:05
    like sharing
  • 8:05 - 8:08
documents and files across the network
  • 8:08 - 8:10
with other computers as well as users as
  • 8:10 - 8:13
well so if you've got stuff on your pc
  • 8:13 - 8:15
that you don't want someone else to see
  • 8:15 - 8:17
maybe it's a family computer then maybe
  • 8:17 - 8:19
you want to set permissions for a
  • 8:19 - 8:21
particular type of folder that you don't
  • 8:21 - 8:23
want them to be able to access or see
  • 8:23 - 8:25
and this is how useful this sort of uh
  • 8:25 - 8:28
information is so let's go back into
  • 8:28 - 8:30
jim's account here if i want to try to
  • 8:30 - 8:33
edit the permissions myself i can't
  • 8:33 - 8:35
because i don't have uh the permissions
  • 8:35 - 8:37
to edit this you need to be the
  • 8:37 - 8:39
administrator and of course you would
  • 8:39 - 8:42
have a password on that administrator
  • 8:42 - 8:44
account to stop the person logging into
  • 8:44 - 8:46
    the administrator account and literally
  • 8:46 - 8:49
    changing any of these permissions
  • 8:49 - 8:52
so let's log back into the administrator
  • 8:52 - 8:53
account which is brighttech now of
  • 8:53 - 8:56
course you would need to have a password
  • 8:56 - 8:58
on this account to stop anyone logging
  • 8:58 - 9:01
into it to make changes to
  • 9:01 - 9:04
uh those folder permissions here so i'm
  • 9:04 - 9:06
going to right click on the invoice
  • 9:06 - 9:08
folder here as administrator and we're
  • 9:08 - 9:11
going to go to the security tab and you
  • 9:11 - 9:13
can see the accounts here that have
  • 9:13 - 9:15
permissions i'm going to click on jim
  • 9:15 - 9:17
here and click edit and i'm going to
  • 9:17 - 9:21
give jim uh some permission to do what
  • 9:21 - 9:23
he wants with this a particular folder
  • 9:23 - 9:24
    so let's give him
  • 9:24 - 9:26
full control but you can restrict
  • 9:26 - 9:28
whatever you want you can put modify or
  • 9:28 - 9:30
whatever it is you want to give one
  • 9:30 - 9:33
person access to on that folder and it
  • 9:33 - 9:36
could be an array of folders drives or
  • 9:36 - 9:39
anything like that so go back to jim now
  • 9:39 - 9:42
    and log in here
  • 9:42 - 9:43
and see what jim can do now we've
  • 9:43 - 9:46
    changed to permissions
  • 9:46 - 9:48
so remember jim's now got full control
  • 9:48 - 9:51
of this folder here so let's go in here
  • 9:51 - 9:53
    invoices
  • 9:53 - 9:54
    and we can now
  • 9:54 - 9:57
open up and we delete this file where
  • 9:57 - 9:59
would before we couldn't do anything
  • 9:59 - 10:01
with this file we can edit it we can
  • 10:01 - 10:02
    read it
  • 10:02 - 10:03
we can literally do whatever we like
  • 10:03 - 10:06
    because we've given full permission
  • 10:06 - 10:09
on that file and on that folder
  • 10:09 - 10:10
    so that's basically
  • 10:10 - 10:13
what that does is you need to set
  • 10:13 - 10:14
    permissions for
  • 10:14 - 10:16
certain files folders and drives that
  • 10:16 - 10:18
you want to give access to
  • 10:18 - 10:20
for each individual that's using that
  • 10:20 - 10:23
computer and if this is great for if
  • 10:23 - 10:25
someone's got a family pc and you've got
  • 10:25 - 10:27
maybe multiple accounts on that one pc
  • 10:27 - 10:29
and you want to stop them accessing
  • 10:29 - 10:31
certain stuff then this is essential
  • 10:31 - 10:33
that you set this up and it's also good
  • 10:33 - 10:36
to know how to understand and use
  • 10:36 - 10:39
    permissions on a computer
  • 10:39 - 10:40
anyway that's going to be about it for
  • 10:40 - 10:42
this video my name has been brian from
  • 10:42 - 10:44
brighttech computers dot co dot uk just
